HOW THE DAY WORKS

It is important for us to liaise and work with each school to provide the smoothest possible photograph day. Prior to our visit we will discuss any individual requirements needed, assess the size of the job, numbers to be photographed and timescale permitted. Once we’ve ascertained this information we can then determine the right number of photographers needed to comfortably complete the job.
 

INDIVIDUAL AND FAMILY PORTRAITS (Primary Schools)

Here is a breakdown of how a typical photograph day should work.

​

  • We will arrive anything up to an hour before the photography day starts. This will allow ample time to check the area, prep the studio and equipment, confirm backgrounds/poses, complete lighting checks and verify schedule.

  • If requested we will start with any pre-school family portraits. In some cases these photographs may take place before school starts.

  • We then move on to the siblings within school. We recommend starting with the older siblings working down to the youngest.

  • Once the siblings are finished, we will then start with individual portraits. Students will normally arrive in their class groups. We recommend starting with the youngest and working our way up to the oldest. On average each class should take no longer than 10 minutes.

  • If needed we will return on the afternoon for PM nursery and any other portraits.

  • If any STAFF portraits are required, we will fit them in as and when is convenient during the day.

  • Once everything is completed, we pack away, tidying up the area as we go.

  • When leaving, a detailed rundown of what will happen next will be provided.

INDIVIDUAL PORTRAITS (Senior School & Colleges)

  • We will arrive anything up to an hour before the photography day starts. This will allow ample time to check the area, prep the studio and equipment, confirm backgrounds/poses, complete lighting checks and verify schedule.

  • Each Year group will take anything from 30 minutes to an hour depending on the size of the school and the number of photographers allocated. We will allow for more time if class group photographs are to be done at the same time.

  •  We recommend 10 minute slots per photographer for each class if for individuals only. Typically this will increase to 15 minutes if class groups are included.  

  • In some cases the photographer/s will stay all day depending on the volume of pupils that will be photographed.

  • If any staff portraits are required, we will fit them in as and when is convenient during the day.

  • Once the portraits are completed, we will pack away and tidy area.

  • Upon leaving, a clear rundown as to what will happen next will be explained.

If the images are required for your school database, please contact our office prior to the day. We will implement a simple procedure, with minimum fuss and disruption. Every pupil will be issued a card with a barcode, pupils name, class and admission number on. These are then scanned at the time the individual portraits are taken. In turn enabling the automatic upload of your pupils images to your database from the CD we provide after the day.

CLASS AND OTHER GROUPS

We appreciate that the following example of a typical class group portrait day is open to change. As you may be aware we are forever amenable to change whenever necessary. Prior to the day we will call in or contact you to finalise details/schedule.

  • We will arrive anything up to an hour before the day starts, this is to assess and prep the area, set up equipment and re-confirm details/schedule.

  • If larger staging is required then the photographers will normally attend more than 1 hour before to construct staging appropriate to the size of the group.

  • In some cases we will start earlier if a staff group has been requested.

  • It normally takes approximately 10 to 15 minutes for each class or stitch group.

  • It’s advisable to do any specialised groups such as friendship groups, school council or sports teams after all the class groups are completed. This will allow extra time for the pupils to change into sports kits.

  • For a traditional class group, we split each class into two lines, boys and girls and then line them up in height order. They are then positioned on the group so each pupil is easily visible, with tutor positioned in the centre of the front row.

  • For the stitch group, each class will arrive and then be separated into smaller groups. Each smaller group will be photographed against a white background, using contemporary and fun poses. These groups will then later be combined digitally to create what appears to be a seamless group.

  • For a whole year group the process will be a lot longer, lasting anything up to 30 minutes. The full year group is lined up in one line, height order. The line is then split with each pupil being assigned a particular spot on the group where to stand or sit. Tallest at the back and smallest at the front.

All of our photographers are fully trained to complete your groups from start to finish. Each group can be individualised by you, with any idea, size or style being considered, i.e. school logos, titling, backgrounds etc. Some sizes and styles are sometimes determined by the number of pupils on the group.

From every group taken we will provide complementary copies for your school which you can use for school display purposes.
